When working with tables, you may occasionally want to merge two or more cells, or split one cell into multiple cells. Word makes this easy.

Merging Cells

Cells can be merged either from the Quick Menu or the Ribbon.

HINTS:
To avoid having to redo your table headings, use the merge and split features as the final step in formatting your table.
If there is text in more than one of the cells being merged, the text from each cell will be separated by paragraphs in the resulting cell.

Merging Cells: Quick Menu Option

  1. Select the cells you want to merge

    To divide cells, click this command in the merge group on the table tools layout tab.

  2. Right click within the selected cells » select Merge Cells
    The selected cells are merged.

Merging Cells: Ribbon Option

  1. Select the cells you want to merge

  2. From the Ribbon, select the Layout command tab

  3. In the Merge group, click MERGE CELLS

    To divide cells, click this command in the merge group on the table tools layout tab.

    The selected cells are merged.

Splitting Cells

As with merging, cells can be split from either the Quick Menu or the Ribbon.

Splitting Cells: Quick Menu Option

HINTS:
Word will attempt to evenly divide any text in the cell you are splitting based on the number of paragraphs.
You can only split one cell at a time using the Quick Menu option.

  1. Select the cell you want to split

    To divide cells, click this command in the merge group on the table tools layout tab.

  2. Right click within the selected cell » select Split Cells...
    The Split Cells dialog box appears.

  3. In the Number of columns and/or Number of rows boxes, type or use the nudge buttons to select the desired number of rows and/or columns

  4. Click OK
    The selected cell is split according to your settings.

Splitting Cells: Ribbon Option

  1. Select the cell(s) you want to split

    NOTE: Unlike the Quick Menu option, using the Ribbon option allows you to split multiple cells at once.

  2. From the Ribbon, select the Layout command tab

  3. In the Merge group, click SPLIT CELLS

    To divide cells, click this command in the merge group on the table tools layout tab.

    The Split Cells dialog box appears.

  4. In the Number of columns and/or Number of rows boxes, type or use the nudge buttons to select the desired number of rows and/or columns

  5. (Optional) If you are splitting multiple cells, to keep cell information that is in consecutive cells on the first selected row of new cells, select Merge cells before split

    To divide cells, click this command in the merge group on the table tools layout tab.

    OR
    To keep the information in individual cells in their original cells after splitting (rather than keeping the information in consecutive cells on the first selected row), deselect Merge cells before split

    To divide cells, click this command in the merge group on the table tools layout tab.

  6. Click OK
    The selected cell is split according to your settings.

Merge and Split Table Cells in Publisher: Overview

            After adding a table to a publication, you can merge and split table cells in Publisher to control its layout. You can merge multiple selected cells together into one larger cell. You can also split a single, selected cell into multiple, smaller cells. This is often performed on layout tables in a publication page. Doing this create cells of various sizes into which you can place page content to precisely align it.

            To merge multiple selected cells into a single cell, first select the cells to merge into a single cell. Next, click the “Layout” tab of the “Table Tools” contextual tab in the Ribbon. Then click the “Merge Cells” button in the “Merge” button group. The selected cells are then merged into a single cell.

            To split a merged cell back into its component cells, click into the merged cell to split. Next, click the “Layout” tab in the “Table Tools” contextual tab within the Ribbon. Then click the “Split Cells” button in the “Merge” button group. Doing this divides the merged cell back into its component cells within the existing columns and rows.

            To display a drop-down menu of all possible cell division choices, select a cell in a table. Then click the “Diagonals” button in the “Merge” button group on the “Layout” tab in the Ribbon. You can select “Divide Down” or “Divide Up” commands to divide the selected cell up or down diagonally.

            To remove a diagonal split from a selected cell, click into a table cell that contains a diagonal split. Then select the “No Division” command from the “Diagonals” button’s drop-down menu.

  5. Click the “Layout” tab in the “Table Tools” contextual tab within the Ribbon.
  6. Then click the “Split Cells” button in the “Merge” button group.
  7. To display a drop-down menu of all possible cell division choices, select a cell in a table.
  8. Then click the “Diagonals” button in the “Merge” button group on the “Layout” tab in the Ribbon.
  9. To divide the selected cell up or down diagonally, select either the “Divide Down” or “Divide Up” commands.
  10. To remove a diagonal split from a table cell, select the “No Division” command, instead.
